How ShadeTree HR handles workforce information

This notice explains what information the ShadeTree HR iPhone app uses, why it is needed, and the choices available to authorized users.

1. Scope and roles

ShadeTree HR is a workforce application provided by Standifer Labs for authorized employees, managers, HR personnel, and administrators of participating organizations. It is not a consumer service and does not offer public account creation. This notice applies to information handled through the ShadeTree HR iPhone app, its Home Screen widget, and the related services used by the app.

Your employer or organization determines which ShadeTree HR features are enabled, assigns account access, and controls its workforce records. Standifer Labs processes that information to provide and protect the service on the organization's behalf.

2. Information the app may use

Depending on your role, assignments, employer settings, and use of the app, ShadeTree HR may use:

  • Identity and contact information, such as name, email address, phone number, mailing address, employee or user ID, and account status.
  • Employment and workforce information, such as job title, department, manager, work location, schedule, employment status, acknowledgements, training, performance, recognition, and company assignments.
  • Timekeeping and leave information, such as clock-in and clock-out events, server-recorded timestamps, timecards, work activity, pay-period information, holidays, and time-off requests and balances.
  • HR and other sensitive information you or authorized administrators provide, which may include benefit-related, health-related, financial, emergency-contact, or accommodation information when needed for legitimate employment administration.
  • Documents and communications, such as policies, handbook content, assigned documents, acknowledgements, signatures, support requests, HR questions, and other content you submit.
  • App, device, and security information, such as device and app identifiers, app version, product interactions, authentication and session events, security signals, diagnostic records, and actions needed to prevent fraud or misuse.
  • Search activity within employee resources, such as handbook and policy searches, when needed to provide and improve those features.
The current iPhone app does not request precise or coarse device location.

Optional Face ID or Touch ID protections are handled by Apple on your device. ShadeTree HR does not receive or store your biometric template.

3. How information is used

Workforce information is used to:

  • authenticate accounts, maintain sessions, and protect role-based access;
  • provide timekeeping, timecards, leave, documents, policies, support, and other assigned HR functions;
  • route requests and approvals to authorized managers and administrators;
  • maintain employment, payroll-support, legal, security, and audit records;
  • troubleshoot the app, prevent abuse, investigate incidents, and improve reliability; and
  • comply with applicable law and enforce authorized organization policies.

4. When information is disclosed

Information is available only to people and service providers who need it for legitimate workforce or service-delivery purposes. This may include your authorized manager, your organization's HR and administrators, payroll or benefits personnel, legal or compliance advisors, Standifer Labs support personnel, and vendors that provide hosting, security, authentication, communications, file storage, support, and workplace integrations under contractual or legal safeguards. Information may also be disclosed when required by law, to protect people or systems, or in connection with a legitimate business transaction.

ShadeTree HR contains no third-party advertising, does not sell personal information, and does not use workforce information for cross-context behavioral advertising or app tracking.

5. Retention and account closure

Information is retained for as long as needed to provide workforce services and meet employment, payroll, tax, benefits, recordkeeping, dispute, security, and legal obligations. Retention periods vary by organization and record type. When an account is deactivated, access ends, but records may remain where the organization or Standifer Labs has a legitimate business or legal need. Backup and security records may persist for a limited period before routine deletion or replacement.

6. Security and user responsibilities

Standifer Labs and participating organizations use administrative, technical, and organizational safeguards designed to protect workforce information. No system is completely secure. Keep your device and credentials private, use required authentication protections, sign out from shared devices, and report a lost device or suspected account misuse promptly.

7. Access, correction, and privacy requests

You can review certain profile and workforce information in the app. For access, correction, account deactivation, or questions about retention and deletion, contact your employer's HR team first because your organization controls its workforce records. Some records cannot be deleted while they are legally or operationally required. You may also contact Standifer Labs for app-level privacy support.
